DescriptionAbout the Role
We are seeking a highly organized and patient-focused Medical Virtual Assistant to support a Sleep Medicine practice. The ideal candidate has strong communication skills, clinical understanding (RN preferred), and proven experience supporting patient scheduling, intake, and administrative functions in a healthcare setting.
This role requires exceptional attention to detail, professionalism, and the ability to manage multiple tasks while delivering a high-quality patient experience.
Key Responsibilities
Appointment Management
- Call patients to confirm appointments and discuss visit requirements
- Verify copays prior to appointments
- Ensure prior sleep studies and office notes are obtained before the visit
- Schedule, reschedule, and cancel appointments as needed
Patient Registration & Intake
- Contact and onboard new patients; collect demographic and insurance details
- Enter data accurately into CareCloud
- Verify patient eligibility and insurance benefits (including direct insurer calls when needed)
- Check requirements for prior authorizations
- Conduct brief intake questions regarding patient symptoms or sleep history
- Link prior sleep study records to AirView
- Coordinate with DME suppliers as needed
Front Desk / Reception Support
- Answer inbound patient calls and address questions
- Call facilities and provider offices to request records or follow up on referrals
- Contact insurance hotlines to obtain coverage details or support
Medical Records Management
- Send referral updates and referral orders
- Fax and email records securely
- Upload sleep studies and other clinical records into EMR
- Send messages and documents through CareCloud
- Maintain accurate and confidential patient records
Practice Support & Administrative Work
- Complete assigned daily tasks and inbox requests
- Attend practice meetings and collaborate with the clinical team
- Assist with other administrative needs related to patient care
Qualifications
- Registered Nurse (RN) preferred
- Experience in a sleep clinic, respiratory care, neurology, or similar specialty is a plus
- Excellent English communication skills (written & verbal)
- Prior experience with medical scheduling and eligibility verification
- Familiarity with CareCloud and AirView (preferred, not required)
- Strong organizational skills and attention to detail
- Ability to multitask and work in a fast-paced healthcare setting
- Tech-savvy and comfortable with EMR systems and medical documentation workflows
- Empathy, professionalism, and a patient-first mindset
RequirementsThis will start 30 hours per week and will transition to full time in March 2026
