DescriptionWe are seeking a highly organized, proactive, and detail-oriented Medical Admin Assistant to provide comprehensive administrative and operational support to multiple medical practices. The ideal candidate will be instrumental in ensuring smooth daily operations, managing various administrative tasks, and coordinating marketing efforts. Familiarity with healthcare terminology, billing workflows, and multi-location practice management is highly advantageous. This role requires strong proficiency in various software applications and excellent communication skills.
Responsibilities
- Assist with scheduling appointments, patient follow-ups, and managing calendars for multiple medical practices.
- Perform comprehensive document management, including organizing, filing, and retrieving electronic and physical documents.
- Generate and compile various reports, ensuring accuracy and timely submission.
- Coordinate marketing activities, including email campaigns and social media presence.
- Provide general operational support across multiple medical practices, ensuring efficient workflows.
- Manage email communications, responding to inquiries and directing messages as needed.
- Oversee schedule management and project timelines, ensuring deadlines are met.
- Support billing workflows and have a basic understanding of healthcare terminology.
- Collaborate with various stakeholders to ensure seamless practice operations across different locations.
Requirements - Proficiency in Email Management, Schedule Management, and Project Management.
- Strong Document Management and Reporting skills.
- Experience in Marketing Coordination and General Operational Support.
- Familiarity with healthcare terminology, billing workflows, and multi-location practice management.
- Proven experience as an Executive Assistant, Healthcare Virtual Assistant, or in a similar administrative support role within the healthcare sector.
- Experience with Social Media & Email marketing.
- Preferred Background & Experience:
- Healthcare/Medical Admin Experience (2+ years preferred): Worked in or with medical practices (especially dermatology, ENT, pain, or multi-specialty).
- Familiarity with insurance verification, credentialing, referrals, billing workflows, or EHRs.
- Strong Project & Task Management Skills: Experience using task management tools (Asana, Trello, ClickUp, etc.).
- Comfortable tracking and following up on dozens of moving parts and deadlines.
- Excellent Communication Skills: Can draft emails, reminders, social media posts, and basic reports that sound polished and professional.
- Understands when to escalate or follow up.
- Marketing or Customer Service Background (optional but helpful): Experience managing reviews, coordinating events, or running small campaigns.
- Familiarity with Google Business Profile and reputation management tools.
