Position Summary:
We are seeking a highly organized, detail-oriented Medical Virtual Assistant to support the Sleep Compliance Operations Team. This role is critical in managing and triaging inbound patient referrals, ensuring accurate data intake and seamless workflow integration across clinical operations.


The ideal candidate will be proficient in Excel, comfortable navigating EMR systems, and capable of managing high-volume, repetitive tasks with consistency and accuracy. This is a non-patient-facing role but requires a strong understanding of clinical workflows and medical documentation.

Key Responsibilities:

Patient Intake & Triage

  • Manage inbound patient referrals through EMR and internal systems

  • Accurately enter and verify demographic and insurance information

  • Apply triage protocols based on CPAP/CCM compliance metrics

  • Assign patients to appropriate clinical personnel based on internal workflows

Medical Data & System Management

  • Reconcile patient information between EMR systems and internal platforms

  • Upload daily compliance reports and maintain accurate logs

  • Ensure HIPAA-compliant data handling and documentation

Reporting & Documentation

  • Maintain clear, structured, and real-time documentation of all transactions

  • Contribute to internal SOPs and process documentation

  • Provide support in developing efficient workflows and compliance tracking

Operational Workflow Execution

  • Process 50–80 patient referrals per day with accuracy and timeliness

  • Manage tasks across multiple systems and tools

  • Collaborate with internal teams for issue resolution or clarification

Required Qualifications:

  • 2+ years of experience as a Medical Virtual Assistant or in a clinical admin role

  • Strong command of Microsoft Excel and Google Sheets

  • Experience with high-volume data entry and workflow management

  • Excellent written English and attention to detail

  • Highly organized and capable of self-management in a remote setting



Requirements

Preferred Qualifications:

  • Experience in sleep therapy, CPAP/DME workflows

  • Background in medical office or clinical operations (non-licensed acceptable)

  • Exposure to insurance verification and intake processes

  • Experience using CRMs or workflow platforms

  • Familiarity with EMR systems (preferred but not required)

  • Strong organizational and multitasking skills to manage high-volume workflows

  • Fast learner with strong tech adaptability across multiple platforms
