Pillar Health Solutions is a Texas-based healthcare organization dedicated to improving patient care through operational efficiency and clinical excellence. The team supports a growing network of US-based physicians and clinics, providing patients with timely, accurate, and compassionate service.

Through GoLean Health, we are seeking a Medical Virtual Assistant (MedVA) who can be an integral part of the healthcare operations team, ensuring seamless communication, accurate documentation, and excellent patient experience.

Key Responsibilities

  • Appointment Scheduling:
    Manage provider calendars, confirm and reschedule appointments, and send reminders to minimize no-shows.
  • Patient Communication:
    Answer calls, respond to inquiries, and manage voicemails or text messages in a professional, HIPAA-compliant manner.
  • EHR / EMR Management:
    Update patient records, upload documents, process referrals, and maintain data accuracy in systems like Athena, ECW, or similar.
  • Insurance Verification and Pre-Authorization:
    Verify patient eligibility and coordinate with insurance providers as needed.
  • New Patient Intake:
    Collect and record patient demographics, insurance details, and medical history accurately and efficiently.
  • Administrative Support:
    Handle general office tasks such as email management, follow-up calls, and documentation updates.

Preferred Qualifications

  • At least 1 year of experience as a Medical Virtual Assistant in a US healthcare setting.
  • Proven leadership or process improvement experience within a team or clinic setting.
  • Strong background in appointment scheduling, insurance verification, and patient communication.
  • Experience using EHR/EMR systems (ECW, AthenaHealth, DrChrono, etc.)
  • Excellent verbal and written English communication skills.
  • Proactive, organized, and able to work with minimal supervision.
  • HIPAA certified (preferred, or willing to obtain certification before deployment).
