Our client, a growing physical therapy practice based in South Carolina, is seeking a dedicated Medical VA to support their administrative, billing, and patient coordination functions. This role is fully remote and ideal for someone who is detail-oriented, proactive, and committed to delivering exceptional service in healthcare.

Responsibilities

Patient Coordination & Front Desk Support

  • Schedule and confirm patient appointments

  • Manage calendars and coordinate therapy sessions

  • Respond to inquiries via phone and email

  • Organize telehealth sessions and post-session follow-up

  • Maintain patient records and ensure confidentiality

Billing & Insurance

  • Verify insurance benefits and obtain authorizations

  • Enter billing information from EMR into AMD software

  • Submit insurance claims and post payments

  • Use SwipeSimple for payment collection

  • Assist patients with insurance-related questions

CRM & Lead Management

  • Monitor and respond to new patient leads via GoHighLevel CRM

  • Convert inquiries into scheduled evaluations (Speed to Lead)

  • Manage CRM follow-ups, especially during U.S. off-hours

Administrative Support

  • Monitor and manage email correspondence

  • Prepare and organize documentation

  • Track referrals and maintain a patient waitlist

  • Conduct patient feedback follow-ups

  • PTEverywhere (Electronic Medical Records)

  • GoHighLevel (CRM)

  • SwipeSimple (Payment Processing)

  • AMD (Billing Software)



Requirements

  • Minimum of 2 years experience as a Medical VA or in a similar healthcare admin role

  • Familiarity with insurance verification, authorizations, and billing procedures

  • Strong communication and organizational skills

  • Experience with CRM tools (GoHighLevel preferred)

  • High level of reliability, attention to detail, and ability to work independently

  • Comfortable working remotely and managing multiple systems
