With ten micro-clinics embedded inside health clubs and country clubs throughout Texas, they offer immediate access to care—right where many injuries occur.

As they expand their services, particularly around insurance billing and patient record management, they’re seeking a Medical Virtual Assistant to streamline key administrative functions and support both patients and clinical staff.
The ideal candidate is experienced in healthcare administration, especially insurance verification, authorizations, and EMR management. You’ll play a critical role in maintaining organized workflows, following up on important documentation, and ensuring patients are informed and supported every step of the way.
Responsibilities
Insurance & Patient Support
Verify patient insurance coverage and communicate benefits clearly to patients
Obtain and track pre-authorizations for physical therapy procedures
Update patient records with insurance details in PT Everywhere
Liaise with insurance providers to clarify coverage and resolve issues
Follow up on pending claims and assist with patient billing questions
Respond to patient inquiries via phone, text, or email regarding appointments, insurance, or general FAQs
Medical Records & Documentation
Maintain accurate and up-to-date electronic medical records
Audit patient records for completeness and compliance
Collect and send medical records to law firms upon request
Communicate with legal teams to provide necessary documentation
Prepare and organize documents for internal and external communication
Reporting & Administrative Tasks
Fill out internal KPI trackers using data from reports
Assist with internal communication via Bitrix and other team platforms
Support clinical and admin teams by managing referrals and sending personalized patient updates

Bitrix (billing communication)
2+ years of experience in a medical office or virtual healthcare support role
Strong understanding of insurance verification, pre-authorizations, and billing workflows
Excellent communication and organizational skills
Proficiency with EMRs and comfort using multiple platforms
Experience with legal record handling is a plus
High level of discretion and understanding of HIPAA and patient confidentiality
A proactive, team-oriented approach with strong attention to detail
