As a key support member of the administrative team, your responsibilities will include:
Scheduling & Intake Support
Manage new patient intakes and complete onboarding documentation
Coordinate and confirm patient appointments
Maintain and update the appointment calendar
Handle patient inquiries via phone and email professionally and promptly
Insurance & Billing Tasks
Verify insurance coverage and obtain necessary authorizations
Liaise with insurance providers regarding coverage and claims
Enter payments, track claims, and support billing-related communications
Explain billing to families in clear, supportive language
Administrative Duties
Maintain and update patient records in Practice Pro and Office 365
Coordinate with therapists to manage daily schedules
Assist with follow-ups, referrals, and personalized communication with families
Ensure privacy, professionalism, and documentation compliance across all interactions
Experience supporting medical or pediatric therapy practices is highly preferred
Strong knowledge of insurance verification, pre-authorizations, and billing
Excellent communication skills (verbal and written)
Familiarity with tools like Practice Pro, Office 365 (Outlook, Teams, SharePoint)
Highly organized and able to prioritize tasks independently
Friendly, empathetic, and confident working directly with parents and families
Comfortable working Central Time full-time hours
