Rockstar is hiring a full-time Medical Virtual Assistant on behalf of a concierge medical practice looking for a dedicated, clinically experienced back-office presence.

This is a clinical support role, not a general administrative one. The two primary drivers of this hire are chart prep for the physician's upcoming visits and prior authorizations for medications and imaging, both flagged by the client as the most important, time-consuming tasks she needs fully owned by one dedicated person. Around that core, the VA will also manage prescription refills, keep patient records current, and take patient calls related to medication changes, results, and follow-up care, so strong clinical judgment and a warm, professional phone presence both matter here.

Accountability is a major focus for this role from day one. The client has had a difficult prior experience with virtual support and is looking for someone who is transparent, communicative, and comfortable with clear daily benchmarks and task tracking. This is a great fit for someone with real clinical back-office experience who takes ownership of their work without needing to be micromanaged, and who wants to build long-term trust with a practice that values follow-through above almost everything else.

About the Client

This is a concierge medical practice where patients pay directly to be members, and they expect quick, efficient service with real follow-through on every request. The practice has had some recent transitions on their in-office team and wants this role to bring a steady, dependable presence to their back office so existing staff can stay focused on patients who are physically in the clinic.

They're looking for someone hardworking, detail-oriented, self-motivated, friendly, and well-spoken, someone who can be trusted with sensitive medical information and patient communication from day one.

Key Responsibilities

Primary Responsibilities

  • Own chart prep for the physician's upcoming visits, ensuring everything is fully ready at least three days in advance
  • Handle prior authorizations for medications and imaging, this is the single most time-consuming task the client needs off her plate

Supporting Responsibilities

  • File and document all faxed chart notes, lab orders, and other correspondence into patient charts daily
  • Manage prescription refill requests daily
  • Fax and process medical record requests, returning them within 72 hours
  • Answer patient calls and assist virtually when in-office staff are occupied with in-person patients
  • Respond to patient cases and inquiries promptly
  • Call patients directly regarding medication changes, results, or other follow-up as needed
  • Prepare documents, manage email correspondence, and complete data entry as needed

Requirements

  • Clinical background required (medical assistant, nurse, or similar), this is not a purely administrative role
  • Prior authorization experience for both medications and imaging strongly preferred
  • Athena EMR experience a strong plus
  • Comfortable speaking directly with patients about sensitive medical topics
  • Highly organized with strong follow-through and minimal need for oversight once trained
  • Comfortable with daily task tracking and clear productivity benchmarks
