Role Overview
We are seeking a Medical Virtual Assistant to provide administrative and clerical support to a U.S.-based healthcare organization. This full-time remote role involves managing patient communications, scheduling, medical records, and operational support while maintaining strict confidentiality and professionalism. The ideal candidate has experience in healthcare administration and is familiar with Electronic Health Records (EHR) systems and medical workflows.
Key Responsibilities
Administrative Support
- Schedule and manage patient appointments for healthcare professionals.
- Organize, update, and maintain patient records in EHR systems.
- Assist with medical documentation and compliance reporting.
Patient Communication
- Handle patient inquiries via phone, email, and chat, ensuring timely responses.
- Send appointment reminders and follow-ups to enhance patient engagement.
Documentation & Reporting
- Transcribe medical notes and records with accuracy.
- Assist in preparing reports and maintaining compliance with healthcare standards.
Billing & Insurance Support
- Verify insurance details and assist with billing inquiries.
- Process claims and follow up on pending reimbursements as needed.
Operational Efficiency
- Coordinate with labs, pharmacies, and other healthcare entities for seamless operations.
- Support healthcare professionals with research, data entry, and administrative tasks.
Qualifications
- 2+ years of experience in medical or healthcare administration.
- Familiarity with EHR systems such as Kareo, Athenahealth, or similar.
- Strong English communication skills (written and verbal).
- Knowledge of medical terminology, procedures, and healthcare workflows.
- Proficiency in Microsoft Office Suite, Google Workspace, and other administrative tools.
- Ability to handle confidential patient information with discretion.
- Experience with insurance verification and billing is a plus.
Requirements

- Fast, reliable internet connection and a quiet, professional workspace.
- A high-speed computer with a second monitor for efficient task management.
- Familiarity with U.S. healthcare systems, HIPAA regulations, and patient data security best practices is preferred.
Compensation
- $800 - $1,500 per month, depending on experience and expertise.
- Independent contractor position, paid in USD twice monthly.
