Job Title: Medical Virtual Assistant

Position Type: Full-time

Work Hours: 9:00 AM – 5:00 PM Eastern Time (EDT)

Work Days: Monday to Friday

Salary: $5 – $6 per hour

The company is an Internal Medicine and Primary Care practice that provides patient-centered healthcare services focused on improving patient health and well-being.

Scope of Work / Responsibilities

The Medical Virtual Assistant will support internal clinical operations and administrative processes to help improve efficiency and allow clinical staff to focus on patient care. The role involves assisting with medical administrative tasks and coordinating with patients

Insurance Verification

  • Verify active insurance coverage at time of visit
  • Check PCP selections (especially for Keystone and Medicaid plans)
  • Verify provider NPIs
  • Confirm the practice accepts the patient's insurance before scheduling

Appointment Scheduling and Cancellations

  • Schedule appointments, including intake for new patients
  • Manage cancellations and rescheduling
  • Collect patient demographics and insurance information

Prior Authorizations

  • Handle non-stat prior authorization requests
  • Follow office protocols for referral requirements

Patient Communication

  • Respond to patient inquiries via phone, email, or messaging platforms
  • Answer calls and assist patients with scheduling
  • Send appointment reminders and follow-up messages
  • Direct patient calls to providers or clinical staff when appropriate

Clinic and Provider Support

  • Coordinate with healthcare professionals and clinic staff
  • Assist with provider-related administrative tasks and clinic workflows

Administrative Support

  • Organize documentation and manage patient information

Insurance and Billing Support

  • Process insurance-related administrative tasks, including claims support
  • Provide billing-related administrative assistance when needed

Software and Tools

EHR/EMR: eClinicalWorks

  • Communication tools may include: Email / Phone Messaging apps (Slack, Salesforce, WhatsApp, Skype)
  • Google Voice (VoIP) for communication

Performance may be monitored through live screen monitoring and time tracking tools.



Requirements
  • At least 1 year of experience in medical administration or healthcare support
  • Experience working with an Internal Medicine or Primary Care practice is a plus
  • At least 1 year of strong experience handling insurance verification, prior authorizations, referrals, or insurance-related administrative tasks for a medical practice
  • Familiarity with EHR systems, preferably eClinicalWorks
  • Experience handling high call volumes and multitasking in a clinical environment
  • Nursing background or healthcare training is a plus
  • Knowledge of HIPAA compliance and healthcare privacy standards
  • Strong patient communication skills
  • Attention to detail
  • Ability to follow clinic protocols
  • Ability to coordinate with healthcare staff and providers
  • Spanish language proficiency is a plus

Basic requirements

  • Must be proficient in speaking and writing English very clearly
  • Must have relevant work experience
  • Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory]
  • Must be available for video meetings with your camera on (when needed)
