Scope of Work / Responsibilities
- Provide virtual receptionist support. through call handling, handling of patient inquiries and conducting intake processing in a professional and timely manner.
- Scheduling management. Appointment setting and converting inquiries into scheduled appointments
- Provide great customer service through patient communication and follow up with potential clients.
- Manage complex therapist and patient scheduling.
- Handle cancellations and rescheduling to maintain full provider calendars.
- Send follow-up emails and continue outreach efforts until patients are successfully booked.
- Perform insurance verifications prior to scheduled appointments.
- Support general administrative tasks as needed.
- Take on expanded responsibilities as the practice grows.
Requirements- Healthcare background preferred, ideally in ABA, therapy, or behavioral health.
- Experience with insurance verification.
- Atleast 1 year of medical virtual assistance experience
- Strong verbal and written communication skills for patient interactions.
- Highly organized with the ability to manage complex scheduling.
- Able to multitask and prioritize effectively in a fast-paced environment.
- Coachable and adaptable to practice-specific workflows.
- Knowledge of HIPAA compliance and patient confidentiality standards.
- Proficiency in EMRs like WeThink and Google Chat is a plusΒ
Basic requirements
- Must be proficient in speaking and writing English very clearly
- Must have relevant work experience
- Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory]
- Must be available for video meetings with your camera on (when needed)
